Identify the spaces served by each unit
An AHU may serve several spaces with different occupancy and schedules. The inventory should link the unit to its location, served areas and inspection access points. Completing this information is an important part of assessing an existing system.
The maintenance scope distinguishes equipment, accessible components and associated networks. Duct cleaning or alterations require their own defined conditions and are not automatically included in a general visit.
- Inspection of filter condition and replacement planning as needed.
- Inspection of coils, condensate trays and accessible drains.
- Checks on fans, drives and controls included in the scope.
- Recording ventilation issues by building area.
Set frequencies around actual use
Environmental dust, operating hours and occupancy influence the monitoring required. The program is based on manufacturer guidance and findings from visits, rather than an identical calendar for every unit.
When a floor’s use or room layout changes, review whether ventilation still meets those conditions. Maintenance can identify deviations; redesign requires a separate study.
Give building managers clear information
A report should distinguish completed tasks from outstanding recommendations. Recording a filter’s condition does not mean it was replaced, just as checking a drain does not mean the entire network was inspected.
- Clearly identified equipment and location.
- Components serviced and observations from the visit.
- Supplies replaced and items awaiting authorization.
- Access or operating conditions that limit a task.
Information for assessing your installation
Provide the type and number of units, spaces served, operating hours and any available drawings or manuals. Describe existing complaints and whether they occur continuously or at specific times.
