Asset management

Technical asset inventory for buildings

Managing a building starts with knowing which equipment it contains, where it is and what it does. We turn a technical survey into an organized foundation for scheduling maintenance, recording incidents and evaluating replacements.

Create a register the operations team can use

A useful inventory is more than a list of brands. Every asset needs a stable identifier, location, function and link to its system. That structure makes it possible to connect a reported issue to the correct equipment.

The scope is defined before the survey and may include HVAC, electrical installations, pumps, backup equipment and other technical systems. The level of detail must also be agreed to avoid records that are too vague or too difficult to maintain.

  • Identification, location and associated system.
  • Make, model and accessible equipment data.
  • Available documentation and history.
  • Observed condition, criticality and follow-up needs.

Connect criticality with maintenance

Two similar pieces of equipment can have very different operational impacts. An inventory records which area depends on each asset, whether backup exists and what happens when it is unavailable.

This information supports maintenance priorities and investment decisions. Equipment age is a reference point, but it does not replace evaluating condition, performance, spare part availability and the consequences of failure.

Deliverables and updates

Record formats, identification rules and responsibility for maintaining the data are agreed. Asset codes or QR labels should support the working process, rather than become a disconnected extra layer.

When equipment is added or replaced, the inventory must be updated. Linking it to work orders and reports preserves history instead of starting again at every visit.

Define the size of the project

Provide the types and number of buildings, systems to survey and available documentation. Drawings, previous lists and plant room access help define routes and time requirements.

Frequently asked questions

Does the inventory include a property valuation?

No. A technical inventory records equipment and installations for operation and maintenance. It is not a commercial property valuation or a real estate brokerage service.

Can we start with critical equipment?

Yes. An initial phase can be defined by system or criticality. The identification structure should allow the inventory to be expanded later.

Are QR labels included?

The identification method is agreed around the working process. The proposal must specify whether labeling, equipment records and links to maintenance history are included.
